PTA EXECUTIVE BOARD JOB DESCRIPTIONS
PRESIDENT
· Coordinate the work of the officers and committees of the association
· Preside at all meetings of the association and represent the Local PTA as a delegate to Council of PTAs
1ST VP – AIDE TO THE PRESIDENT
· Preside in the absence of the president; assist the president as necessary
· Be responsible for installation of new officer
2ND VP – PROGRAMS
· Coordinate programs for all general meetings
· Plan welcome back meeting (Sock Hop)
3rd VP – MEMBERSHIP Work w/ 7th VP
· Be responsible for membership drive and contest; accept dues and remit them to the Treasurer
· Compile duplicate lists of membership and distribute as necessary (president, secretary, state PTA)
· Submit state and national dues checks and membership lists
4th VP – WAYS & MEANS Budget, Disbursements Comm. Work w/ 5th VP
· Share responsibility for coordination of money-making activities of the association, specifically non-sales activities, such as Box Tops & Campbell’s Labels, corporate sponsorships, grants
5th VP – FUNDRAISING Budget, Disbursements Comm. Work w/ 4th VP
· Share responsibility for coordination of money-making activities of the association, specifically sales related activities, such as catalog sales, carnivals
6th VP – HOSPITALITY
· Arrange for welcome back luncheon for staff before school starts
· Be responsible for monthly birthday gifts for staff
· Coordinate with room reps, holiday gifts for professional and support staff
· Coordinate teacher appreciation week
7th VP – DIRECTORY Work w/ 3rd VP
· Compile material, edit, have printed, and distribute a student directory to all paid members of the association
8th VP – VOLUNTEER SERVICES Work w/ officers and chairmen
· Be responsible for the enlistment and coordination of volunteers
· Track and report volunteer hours
SECRETARY
· Record the minutes of all meetings and record of attendance at executive board meetings
· Have a current copy of the bylaws; maintain a membership list
· Maintain a list of local officers who have completed Texas PTA Leader Orientation, with dates completed
TREASURER
· Have custody of all the funds of the association; sign on bank account
· Be the chairman of the budget committee
· Keep books of account and records
· Make disbursements in accordance with the budget adopted by the association
· Present a financial report, both written and verbal, at every PTA meeting
· Present books to the audit committee as requested
COUNCIL DELEGATES (2)
· Attend monthly RISD Council of PTAs general meetings, and report back to Executive Board
· Coordinate 1st and 2nd graders’ attendance at Council-sponsored play
· Coordinate Used Book Fair donations, sorting, delivery and staffing
PARLIAMENTARIAN
· Advise the presiding officer on questions of parliamentary procedure
· Be chairman of the bylaws committee and be responsible for amending or revising them as needed
· Serve as legislation chairman; promote legislation designed to protect children and to improve teachers’ working conditions; encourage members to be informed voters
SUPPLY CART CHAIR
· Coordinate supply sale before school starts; maintain supplies throughout the year
· Schedule volunteers to work at the supply sale and in the supply closet
· Coordinate supply lists with teachers and principal; order pre-packs as necessary for the next year
NEWSLETTER
· Write/ compile/ edit monthly PTA newsletter to be issued the week of General PTA meetings
PUBLICITY
· Provide information about upcoming events of community interest to Dallas Morning News
· Provide articles and photos with captions following events to DMN Richardson Neighbors editor
ROOM REPRESENTATIVE COORDINATOR
· Recruit room representatives for each class; be the link between Board and room reps
· Inform room reps of their responsibilities (coordination of: 2 parties, desserts for staff, carnival help, Wednesday envelope stuffing, communication to parents)
· Obtain staff birthday list from Hospitality VP & distribute to room reps
· Request party money from treasurer; distribute party money to room reps in a timely manner
ARTS IN EDUCATION
· Coordinate Reflections art contest as prescribed by RISD Council of PTAs
SAFETY & YOUTH / HEALTH & WELFARE
· Coordinate Red Ribbon Week
MULTICULTURAL
· Coordinate Multi-cultural program
BEAUTIFICATION/ ENVIRONMENTAL
· Be responsible for planting and maintenance of flower beds
· Coordinate Environmental art contest
PARENT ADVISORY COMMITTEE (PAC) REPRESENTATIVE
· Solicit and submit questions, attend 3 meetings per year, disseminate answers as appropriate
STUDENT AID
· Collect clothing donations and deliver to Clothes Closet
· Work at RISD Clothes Closet (one 2 ½ hour shift per month, minimum)
SPIRIT WEAR
· Coordinate T-shirt orders and sales
NEIGHBORHOOD LIAISON
· Establish and maintain communication between Jess Harben/PTA and representatives from surrounding neighborhoods/associations.
· Communicate news, events, and invitations to neighborhood representatives to pass on to their residents.
· Plan events that include neighborhood representatives (i.e. lunch/building tour) and/or residents (i.e. veterans parade) as asked by PTA Board and/or Principal.
YEARBOOK
· Coordinate yearbook sales, production, and distribution
HISTORIAN
· Collect and preserve documents relating to the events, activities, and history of the association
